COTS’ Shelter Services Specialist reports to Shelter Management and helps to ensure order and cleanliness of our shelter facilities, maintaining a consistent environment for the benefit of our clients, employees, volunteers, and visitors. This role ensures adherence to policies, enters data accurately and timely, and supports proper administrative guidelines.

ESSENTIAL DUTIES

  • Controls access to COTS facilities.
  • Observes signs of disorder and accurately completes appropriate documentation and/or calls upon shelter management.
  • Works cooperatively with clients, staff, and volunteers.
  • Represents COTS in a friendly, professional, and competent manner.
  • Answers phones and manages incoming mail.
  • Assists clients with information, resources, and direction as appropriate.
  • Accepts pre-applications for shelter programs and responds to inquiries and provides information as to other programs.
  • Monitors facility interiors and exteriors, ensuring safety, security, cleanliness, general maintenance, and property regulation compliance.
  • Stocks and maintains materials for facility restrooms, work closets and front desk.
  • Conducts health and safety inspections of clients’ personal spaces, including family rooms and dorm area.
  • Maintains accurate inventories of first aid and client-designated supplies and manages distribution.
  • Assists in managing emergency responses, such as alarms, facility evacuation, and medical situations.
  • Facilitates Evening Roll Call/Announcement(s) and Weekly House Meetings.
  • Responsible for entering sensitive information into Efforts to Outcomes (EtO) data system.
  • Coordinates client community service scheduling including training, upkeep of schedule, and follow through with clients who are not performing, etc.
  • Supports staff communications, e.g. shift changes, policy and procedures, and client updates at weekly care manager meetings.
  • Always adheres to HIPAA security requirements standards.
  • Other duties as assigned. 

QUALIFICATIONS

  • Able to use computers and complete documentation accurately and timely.
  • Experience working with individuals who have lived experience with homelessness, and other marginalized populations.
  • Capable of taking direction and working independently
  • Strong communication and interpersonal skills, and the ability to effectively work with groups of diverse people in a positive, friendly manner.
  • Able to work flexible shifts including late evenings, weekends, and holidays.
  • Experience in safety or security roles preferred.

LANGUAGE, MATH & REASONING SKILLS
Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to add and subtract two-digit numbers and to multiply and divide with 10’s and 100’s. Ability to perform these operations using units of American money and weight measurements, volume and distance. Ability to apply commonsense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

Temperatures are usually moderate but could be warm or cold.

This position’s primary location is 900 Hopper Street, Petaluma. Telecommuting is not optional in this role.
